For HR review. Not a deduction instruction. This report lists losses the finance manager has confirmed. It does not say anyone did wrong, and the system never deducts pay. Under the Employment Act (s.19) a deduction needs wilful default, and the employee may explain first; that is HR's process.

What goes on this report

The rules, the same every month.

  1. Only losses the finance manager has confirmed, one at a time, with evidence attached.
  2. Never pending, explained or dismissed items, and never cash (cash is audit only).
  3. Grouped by POS user: number of confirmed losses and total KES, with each item's evidence.
  4. Built when the month is closed. Only the admin can download it, and every download is logged.
  5. Handed to HR as a file; the admin records the date, the recipient and the file version. Email or payroll links are a separate requirement.

Hand-over to HR

Recorded here; the file itself goes to HR outside the system.
